Move-in inventory and condition checklist

Walk through the home room by room and record what you see at move-in or move-out: each item, its condition, short notes and where the matching photo is kept. Then print the record or download it as a spreadsheet file.

Free, no login. Entries stay in memory in this tab; nothing is saved or uploaded. Reloading clears the form.

Inspection details
The day keys change hands can differ from the inspection day.
For example, a folder name. Do not upload photos here; this page cannot store them.

No names, signatures or addresses are needed. Add them on the printed copy if both parties want to.

How to use the checklist

Start with the blank form or download the blank template. Rename, add or remove rooms and items so the list matches the home. For each item, choose the condition you observed and add a short, factual note: what, where and how big. Number your photos and enter the matching reference so anyone reading the record can find the picture.

Every item starts as “Not recorded”. Nothing is marked as damaged or in good condition until you choose it. Use “Not present in this home” for items the home does not have, so a gap is not mistaken for something missing.

Worked example (synthetic)

The rows below are fictional and only show the level of detail that tends to be useful. They are not a standard of condition. Select Load synthetic example to explore them in the form, then Start a blank form for your own record.

What this record is and is not

This is a way to organize observations. It is not legal advice, a professional survey or a safety inspection, and it does not decide who is responsible for any damage or what a deposit deduction should be. Whether a record like this is accepted as evidence, and what a check-in or check-out must include, depends on the lease and the local rules where the home is. Check those, or ask a qualified adviser, before relying on it.

Gas, electrical and alarm safety checks need the people or tests your local rules require. “Alarms present” in the template only records that a device is there.

Downloads and printing

The CSV file lists every room and item with its condition, notes and evidence reference, plus the inspection details. Cells that a spreadsheet could treat as a formula are prefixed with an apostrophe so they open as text. Printing builds a clean table for each room, with space for both parties to date and initial each page. Neither action sends your entries anywhere.

Keep inspection records with the rest of the rental

Signed-in RentifyNow landlords can keep inspections, inventories and checklists alongside the property’s documents, payments and maintenance requests. This public checklist is separate: it has no account and stores nothing.
