Rental expense worksheet

See when rental costs fall due. Give each expense your own category, then separate operating, financing and capital cash outlays by month and year.

Free, no login. Inputs stay in memory in this tab. Nothing is saved, uploaded or sent to analytics. Reloading clears the worksheet.

Add an expense

Your own name, for example insurance or roof replacement.
Use a decimal point, up to two decimal places. Zero is allowed.

Recurring payments continue from their first date, including in later selected years. There is no end date. Add one-off items for irregular or ended payments. Up to 200 expenses.

Your worksheet

Your worksheet is empty. Add an expense, or download a blank template to fill in offline.

No expenses yet. A blank template has eight empty rows for your own categories; it contains no spreadsheet formulas.

Downloads and printed copies contain your entries. Keep them private. Reset removes every expense in this tab.

    How the worksheet counts payments

A monthly 100 expense starting on 1 January contributes 100 to every month and 1,200 over the selected year. Add a one-off 50 in March and the annual total becomes 1,250 in that currency. A monthly item starting in July contributes six payments that year. This is cash outlay, not profit, yield or an average monthly estimate.

Monthly, quarterly and annual payments are assigned to their due month. If the original day does not exist, use the last day of that month: a 31 January monthly item falls on 28 or 29 February, then 31 March. An annual 29 February item falls on 28 February in non-leap years. Dates are calendar dates; time zones and daylight saving do not move a payment to another month.

Choose categories that fit your records

Use your own category names. Operating items might include insurance, routine repairs or owner-paid utilities. Financing covers loan cash payments; capital covers major improvements or replacement work. These are planning groups you choose, not statements about deductibility, accounting or tax treatment. Cash outlays stay in their original currency; no exchange rates or combined mixed-currency total are provided.

Amounts are non-negative and counted to the cent, with no intermediate rounding. Enter credits or refunds in your own records separately. The CSV includes every entered item, monthly amounts and annual totals by currency and type. Text that could be interpreted as a spreadsheet formula is exported as literal text.
